How eCommerce Fulfilment Works

Fulfilling daily and ad-hoc orders with Motivation couldn't be easier.

Integration

Our IT developers work closely with you to integrate your online systems directly with our warehousing management software. We have several pre-build integrations available but providing you’re software has an API or FTP connection we can develop a solution to synchronise both your orders, tracking numbers and stock levels.

Set Up & Managing Items

We learn about each of your items – what type of products they are and if they have any variations, how they should and shouldn’t be handled and packaged. We also note any special storage requirements – usage of lot, expiry or serialisation control for reporting purposes.

Receiving

When you send your products to our warehouse either from your own business or from a 3rd party we follow the same procedure every time. Goods are logged onto our warehousing software then they are placed in a dry, secure location within our warehouse.

Account Management

When you come on-board we’ll introduce you to your dedicated account manager that will look after you and make sure there’s a smooth transition to our warehouse. They’re available over the phone and they can even come out and meet you.

Storage & Security

Each location in our warehouse is coded so that we know exactly what items are in each area at any one time. Our warehouses are fully insured and are safe and secure fitted with 24/7 CCTV in our alarmed premises.

Order Processing & Data Management

Daily orders are securely downloaded along with accompanying order instructions. Orders can be received via our API integration, FTP, email or direct entry into our website. Pick tickets are automatically generated based on order priority for our warehouse pickers.

Fulfilment

Invoices & dispatch note are quality checked and matched with allocated picked stock. Each order is assembled by our packing team following your instructions and can be gift wrapped to meet your customers specifications.

Packaging

Postal approved plain, printed or branded packaging can be sourced via our network of contracted suppliers. Your account manager will discuss advanced packaging requirements with you.

Delivery

Orders are delivered via distribution channel. Postal service, parcel courier, pallet courier or international freight. We negotiate special prices with our shipping partners to make sure your orders are delivered on-time and intact.

Customer Service

We can answer telephone calls and reply to email/ticket enquiries from customers on your behalf. We’ll escalate any complex enquiries directly to you. We have a seemless reporting process which gives full transparency. All inbound calls are answered with your business name and we work with you to map out how you want the customer service to work.

Kitting & Assemblies

Some products are not always straightforward. Many of our customers sell products in bundles or packs (think Gift Basket) and others have configurable products (think customisation). These orders require further time to pick, pack and quality check. Our processes and experience allows us to build assemblies and kitting tailored to your business.

Returns Management

Returns are inevitable and as an online retailer you must adhere to UK distance selling regulations. We can advise and provide you with an easy step-by-step returns process that takes the hassle out of resolving returns. Our warehouse staff quarantine all incoming returns and your account manager will work with you to complete the return.
